Managing & Accessing Project Files

Our system uses cloud-based storage for managing project files, which means your projects are saved and accessed online rather than on local hard drives. This approach offers several benefits, including remote access from any location, real-time collaboration, and automatic backup. However, it also introduces considerations for managing simultaneous access and avoiding conflicts.

Project Hygiene

In a cloud-based environment, multiple users can open and work on the same project concurrently. This can lead to situations where changes made by one user might overwrite those made by another if proper precautions are not followed. Maintaining good project hygiene is crucial to ensure smooth collaboration and prevent data loss or conflicts. To help you navigate this, please be aware of the following practices:

Concurrent Access Notifications

When you open an existing project, you will be notified if another user currently has it open. This alert helps you understand that someone else is working on the same project, enabling better coordination.

Save Conflicts and Notifications

When saving changes to a project, the system will notify you if the project has been updated by another user since you opened it. This ensures that you are aware of any recent modifications made by others. If you proceed with saving your changes, they will overwrite any updates made by others. Note that a notification is not triggered if the other user has the project open but hasn’t saved their changes yet.

Copying and Renaming Projects

If you need to experiment with significant changes or create variations, consider copying and renaming the existing project. This allows you to work on a separate copy without affecting the original project. You can do this using the copy and rename features in the toolbar. This practice is especially useful for creating a "sandbox" environment where you can test new ideas or make drastic changes without impacting the original project
